Digital identity is at the heart of business transactions and it’s no different when mobilising workers to remote mining sites.
Identifly undertook a large-scale mobilisation automation project with a large WA green technology, energy and metals company, with a workforce over 40k users.
The remote workers included miners, electricians, engineers and support staff such as chefs, cleaners and others critical to the operations of a mining company’s assets.
When mobilising a worker to site, there are several steps and requirements that need to be fulfilled, such as completing online learning and induction materials, passing a medical assessment, having a valid Visa and having the appropriate access rights to the site and its systems.
These steps involve multiple teams and systems, such as Services, Logistics, Development, Security and Identity Management.
More than 2000 workers are mobilised per week, with over 1000 site travel bookings per day, to ensure safe and efficient travel to each of the mining sites.
Our customer was experiencing challenges with their mobilisation process, involving multiple internal and external teams, reliant on emails, manual checking and manual creation of accounts.
The process led to data errors and delays in getting workers to site.
To address these challenges and limitations, the Identity and Access Management Team and IAM partner, Identifly, initiated the Site Mobilisation Automation project.
The project aligned with the strategic objectives of the company such as improving safety, efficiency, and profitability, as well as enhancing the contractor experience and engagement.
The main challenge was that there were no available out of the box integrations available to support the required outcome.
At the heart of the solution was the need to permit access via roles, to allow workers to travel to site on time, with the right amount of access.
Event driven integrations were developed to unite the company’s learning management system (SuccessFactors LMS), the Apache Kafka event streaming platform, Saviynt identity governance and the INX SAM travel application.
The primary insight for organisations wanting to undertake an improvement of this magnitude is that Identifly was able to harness existing technology to resolve a complicated issue.
The automation has seen a significant reduction on time spent on mobilising workers to site.
Efficiency Gains
This Identity and Access Management project was successfully delivered in 2024 and resulted in significant benefits and outcomes for our customer, its contractors, and its stakeholders.
The team removed nearly 5 minutes of processing effort per worker, allowing the mobilisation team to focus on edge cases.
Total time saved across all positively impacted stakeholders equates to a significant impact of 4486 hours per annum and nearly 600 business days of effort saved.
Our customer's travel team benefited from the automated creation of worker profiles in the travel system; reducing the required checks and cross referencing between systems.
The mobilisation and travel teams can now manage an increased capacity and have confidence that their historic manual processes are today, automated and reliable.
Now when a new or returning worker completes inductions, a workflow is triggered, ensuring that travel can be booked on their behalf quickly, enabling staff to travel onsite typically within 12 hours of completing site inductions.
